Your team and roles

Two kinds of people log into Workhouse: your agency team (the dashboard, everything) and client users (the portal, only what's shared). Both are managed from Team & invites.

Inviting a teammate

In the Send invite form:

  1. Enter their Email
  2. Set Kind to Agency team member
  3. Pick a Role (what they'll be able to do — see below)
  4. Click Create invite link

The invite is emailed and you also get a link to share directly. The invitee sets a password on first use. Invites expire after 14 days; pending ones can be revoked from the Invites card.

The built-in roles

Workspace roles, as described in the role editor:

  • Owner — full control over the workspace. Exactly one per workspace; can't be edited or deleted. To change who holds it, promote another member from the team page.
  • Admin — manage everything except workspace settings and billing.
  • Member — day-to-day agency work: tasks, comments, requests, reports. The default.
  • Billing only — finance contact; billing and nothing else.
  • Read-only auditor — see everything, modify nothing. Intended for compliance or SOC 2 reviewers.

Inside a team there are also Team lead (manages team membership, can delete tasks and projects in the team) and Team member (create and update, no delete).

Custom roles and permissions

Under Settings → Roles (requires the manage-roles permission) you can see every role's permission matrix and create custom roles when the built-ins don't fit — say, a contractor who can work tasks but shouldn't see client revenue.

Open a role to edit its name, description, and permissions — the matrix lists every permission as a toggle, and changes save automatically as you toggle. The Members section shows who holds the role; removing someone reassigns them to the base Member role. Owner is locked: it always has every permission.

Choosing roles in practice

  • Default to Member. Grant Admin to the people who actually manage the workspace, not to everyone senior.
  • Use Read-only auditor for outsiders who need visibility — an accountant, an auditor, a fractional exec — instead of a Member role they don't need.
  • Create a custom role the second time you think "I wish they could do X but not Y." The first time is an exception; the second is a pattern.
