Action items and checklists

Two kinds of to-dos show up in your portal, and they work differently. Here's how to tell them apart and what checking each one off actually does.

Action items: assigned to you personally

An action item is something your agency needs from you specifically — send over the logo files, approve the copy direction, share account access. They're created by the agency and assigned to one person on your team.

You'll find them in two places:

  • Your home page — the "Your action items" card collects every open item assigned to you, across all tasks, so nothing hides inside a task you haven't opened lately
  • The task itself — each item also appears on the task it belongs to, under "Your action items"

Each item shows who it's assigned to and, if it has a due date, when it's due — items past their due date turn red. Click the linked task title to see the context around the ask.

Checking one off tells the agency it's done. The team is notified, the completion is logged on the task's activity feed, and it disappears from your home page list. If you check something off by mistake, just uncheck it.

You can't edit an action item's text or due date — if something's unclear or the deadline doesn't work, reply in the task's comment thread.

Checklists: shared steps on a task

A checklist is the task's step-by-step breakdown — shared between you and the agency rather than assigned to anyone. You'll see it on the task page, and your board shows each task's progress at a glance (e.g. "2 of 5 done").

You can toggle items on and off, which is useful when a step is yours to confirm ("Final copy reviewed"). You can't add, remove, or reorder items — the agency owns the list itself.

Rule of thumb: if it has your name on it and shows up on your home page, it's an action item and someone is waiting on it.
